Fitness certificates for HR
Medical Fitness Certificate for Employees
A medical fitness certificate confirms that a doctor has examined an employee and found them fit — or fit with restrictions — for a specific job. Plan My Health issues fitness certificates for new joiners and role changes after an examination by an MBBS doctor, with tests chosen for the role.
HR receives a digital certificate and a fitness status for each person. The employee keeps their own report.

Role-based examinations
- Office roles: vitals, BMI, vision, basic blood tests and a doctor's examination
- Drivers: vision and colour vision, hearing, blood sugar and fitness for driving
- Work at height and confined spaces: balance, blood pressure, history of fits or giddiness
- Food handlers and canteen staff: tests required under food safety rules
- Hazardous processes: the statutory pre-employment examination for that process
How the process works
Candidates visit a partner centre near them or attend an onsite camp. The doctor reviews tests and history and gives one of three opinions: fit, fit with restriction, or temporarily unfit pending review. A certificate is uploaded to the HR dashboard so onboarding is not held up waiting for paper.
Legal references on this page are general guidance. Exact requirements depend on your state factory rules, the processes you run and your headcount, so we confirm the applicable rules for each site before we propose a scope.
How we scope fitness certificates for your hiring
- Short call with HR or EHS to understand headcount, shifts, processes and existing arrangements
- Site walk-through (in person or on video) to see hazards, space and access
- Written proposal with scope, staffing, schedule and price — nothing bundled you did not ask for
- Mobilisation with a named coordinator for your account
- Digital records and due-date tracking in the Plan My Health platform
Medical governance
- Qualified MBBS doctors lead every clinical service; AFIH-qualified doctors are deployed where a process requires one.
- Trained nurses (GNM, BSc or ANM) and paramedics work under doctor oversight and written protocols.
- Clinical oversight: reports and fitness opinions are reviewed by a doctor, with escalation for abnormal results.
- Confidentiality: individual health records are shared only with the employee; HR receives aggregate data and the fitness opinions a role legally needs.
- Data privacy: records are stored digitally with access limited by role.
Frequently asked questions
Is a medical fitness certificate mandatory for every job?
Not for every job. It is required for specific roles under factory, food safety, transport and other rules, and many employers also require it by company policy.
Can you handle joiners in different cities?
Yes. Candidates can be examined at partner centres near them and HR sees all certificates in one place.
Who sees the individual medical results?
Employees see their own results. Management receives anonymised summaries and the fitness opinions the law requires for specific roles. Anything more is shared only with the employee's consent, in line with the Digital Personal Data Protection Act, 2023.
