How employers can plan an influenza vaccination drive, who benefits most, and how to handle consent, cold chain and records.

Influenza (flu) spreads easily in offices, factories and shared transport, and a bad flu season can leave teams short-staffed for weeks. A workplace flu vaccination drive makes it easy for employees to get vaccinated in a few minutes, on site, with a doctor's oversight. Planning it well — timing, consent, cold chain and records — is what makes it safe and well attended.
This guide explains who benefits most, when to run a drive, how to plan it step by step, how to handle consent, cold chain and records, and how to communicate with employees. Vaccination drives fit naturally into a wider corporate wellness and annual health checkup programme.
Who benefits most
Flu vaccination is recommended for many adults, and some groups benefit especially:
- Employees above 50 or with long-term conditions such as diabetes, heart, lung or kidney disease
- Pregnant employees, after discussion with their doctor
- Employees in close-contact roles: customer-facing staff, healthcare staff, shared shift workers
- Employees who travel frequently
Vaccination is voluntary. Anyone with a known severe allergy to a vaccine component, a previous serious reaction, or who is unwell with fever on the day should be assessed by the doctor before vaccination.
When to run the drive
India has different flu seasons in different regions: many areas see a rise during and after the monsoon, while northern regions often also see one in winter. Plan the drive a few weeks before the expected peak in your locations, and check which vaccine formulation is available for the season. The programme doctor can advise on timing for multi-city teams.
Step-by-step planning
- Agree scope: locations, expected uptake, dates and whether family members are included
- Choose a licensed provider with qualified vaccinators and doctor supervision
- Communicate early: why vaccinate, who is eligible, how to register, what to expect
- Collect registrations and pre-screening questions online
- Set up the venue: a registration desk, private vaccination area and an observation area
- Vaccinate and observe each person for a short period afterwards, as the doctor advises
- Record each vaccination and share a digital record with the employee
- Run a mop-up session for people who missed the first day
Consent, cold chain and records
- Consent: each employee gives informed consent after reading what the vaccine is, possible side effects and who should not take it. Keep consent voluntary and private.
- Cold chain: vaccines must be kept within the manufacturer's temperature range from supply to injection. The provider should use validated cold boxes and temperature logs and discard any vaccine exposed outside range.
- Emergency readiness: a doctor or trained staff with anaphylaxis medicines and equipment must be present throughout. Our first aid training helps on-site responders support the medical team.
- Records: record the vaccine name, batch number, date and vaccinator for each person. The employee should receive a copy; HR receives only anonymised uptake numbers.
- Waste: used needles and vials are bio-medical waste and must be handled under the Bio-Medical Waste Management Rules — see bio-medical waste rules for workplace clinics.
Communicating with employees
Explain plainly what the vaccine does and does not do, that common side effects such as a sore arm or mild fever usually pass in a day or two, and that the flu vaccine cannot give you flu. Share the doctor's contact for questions. Leaders getting vaccinated first, and convenient slots by team, both help uptake.
What it costs
Cost depends on the vaccine, number of doses, locations and whether family members are included. Any figure is indicative until the scope and vaccine availability are confirmed.

FAQs
Is a workplace flu vaccination drive mandatory for employees?
No. Vaccination should always be voluntary, with informed consent from each employee.
When is the best time to run a flu vaccination drive in India?
A few weeks before the expected flu peak in your region. Many areas see a rise during and after the monsoon, and northern regions often also in winter; the programme doctor can advise.
What side effects can employees expect?
Common side effects are a sore arm, mild fever or tiredness for a day or two. Serious reactions are rare, which is why a doctor and emergency medicines are present at the drive.
Will HR see who was vaccinated?
HR should receive anonymised uptake numbers. Individual records belong to the employee.
