Office worker taking a break from computer screen

Most office employees now spend most of the working day looking at screens, and many report tired, dry or sore eyes, blurred vision and headaches by evening. This is usually digital eye strain, also called computer vision syndrome. It is common, mostly temporary and largely preventable. A simple vision screening at work, plus a few habits and workstation changes, can make a clear difference to comfort and productivity.

This guide explains digital eye strain, what a workplace vision screening covers, who needs it, when to refer to an eye specialist and how to prevent strain. Vision screening can be added to your annual health checkup for employees.

What is digital eye strain

Looking at a screen for long periods makes us blink less and keeps the eyes focused at one distance. The result is dryness, tiredness, irritation, blurred vision and sometimes neck and shoulder pain from poor posture. Uncorrected or outdated glasses make it worse. Symptoms usually ease with rest, but they return every day if nothing changes.

What a workplace vision screening includes

  • Distance and near vision checks for each eye
  • A check of whether current glasses or contact lenses still suit the person
  • Colour vision, especially for roles where colour matters
  • A short symptom questionnaire on screen time, dryness, headaches and glare
  • Eye pressure or fundus checks where an optometrist or doctor recommends them, for example for people with diabetes or high blood pressure

A screening is not a full eye examination. Its job is to find people who need one.

Who should be screened

  • All employees who spend long hours on screens
  • Drivers and operators of vehicles or machinery, where vision is a safety issue; these roles often need specific vision standards at pre-employment and periodic checks
  • Employees above 40, when near vision commonly starts to change
  • Employees with diabetes or high blood pressure, who need regular eye checks to catch eye complications early — see our guide to diabetes and hypertension screening

When to refer to an eye specialist

Refer to an ophthalmologist or optometrist if screening shows reduced vision, the person reports sudden changes in vision, flashes or floaters, eye pain or redness that does not settle, or if they have diabetes and have not had a recent eye examination. Sudden loss of vision is an emergency.

Preventing eye strain at work

  • The 20-20-20 habit: every 20 minutes, look at something about 20 feet away for about 20 seconds
  • Blink consciously and take short screen breaks
  • Place the screen about an arm's length away, with the top at or slightly below eye level
  • Reduce glare: position screens at right angles to windows, use blinds, adjust brightness to match the room
  • Increase text size rather than leaning forward
  • Keep glasses up to date and use the correct prescription for screen distance

Many of these overlap with good ergonomics; our office ergonomics guide covers desk and chair set-up.

How to run a vision screening drive

Combine it with the annual checkup or run it as a one-day camp. Book slots by department, use a quiet, well-lit space, and give each employee their result privately with clear advice. Follow up on referrals, and share anonymised totals with HR to plan awareness sessions. Costs depend on headcount, locations and the checks included, and any figure is indicative until scope is agreed.
